Authoring Documents Using the Word Add-in

Overview

The Clio Operate Word add-in helps Document Authors work with generated documents in Word. You can review and amend dynamic content, insert reusable Content Blocks, refresh the document when source content changes, and finalise the document before issuing it.

The document assembly process

When you progress a Prepare Document work item to the relevant phase, Clio Operate merges your template with case data and produces a Word document for review. During the merge:

  1. Clio Operate evaluates the display rules on every dynamic content control.
  2. Where a control passes its rules, Clio Operate inserts the relevant data.
  3. Clio Operate writes metadata about the work item, the source template, and the dynamic content into the document's properties.

The Word add-in reads this metadata and links the document back to the source work item, so you can interact with its content.

Once the document is generated, the add-in displays:

  • The name of the generated document, typically with a date and time suffix, at the top of the form.
  • The Clio Operate template that produced it.

Inserting and managing Content Blocks

Reusable content is described as Content Blocks. From the Word add-in you can find, preview, and insert blocks into your document.

To create a new Content Block from selected text in your document, you need the Content Blocks - Create permission. The creation workflow and the recommended approach for blocks built from a parent template are covered in the same article.

Document Browser

The Document Browser displays the dynamic content in your document: tags, sections, and Content Blocks. To open it, select Document Browser from the add-in menu.

To navigate to an element in your document, select it in the tree. The add-in jumps to its location in the document.

To remove an element, use the delete option in the Document Browser rather than deleting it directly in Word. This keeps the document content in step with the metadata the add-in tracks.

The Document Browser also displays the version of each Content Block used when the document was generated, so you can see whether a later version is available.

Refreshing content in your document

When source content changes after the document is generated, you can pull the latest version into the document.

To replace every inserted Content Block with the current source, select Refresh All in the add-in.

Per-block refresh and version indicators are available for HTML Content Blocks only. For more on how refresh behaves for each type, see Working with Content Blocks in the Word add-in.

Finalising your document

Dynamic content sits inside Word content controls. The controls allow the add-in to refresh content and to track what came from where. Before you issue the document, you can remove the controls.

To remove the controls:

  1. Select Finalise from the add-in menu.
  2. Select Remove all content controls.

Once you remove the controls, you cannot refresh any dynamic content in the document.
