This article is not Clio Operate specific, but rather refers to the Quick Steps functionality within Outlook that can be configured to streamline the way you work with emails and ShareDo.
Typically, Clio Operate monitors one or more email addresses; these are referred to as Shared Email boxes.
When an email is either moved or sent to these shared email boxes, Clio Operate will do a number of things, including:
- Associate the email with a specific case or work item based on a luggage tag or matter reference being present.
- File any attachments automatically in your document management system.
- Manage the email as a task with an associated due date and owner.
To streamline the "sending" of emails to a Clio Operate email box, we typically recommend creating Outlook Quick Steps.

Quick Steps appear in the Outlook toolbar and provide a "single click" action that performs multiple different actions behind the scenes.

Create a "File to ShareDo" Outlook Quick Step
- In Outlook, select the Home tab.
- In the Quick Steps group, in the Quick Steps Gallery, select Create New.
- Copy the following configuration.
- Where "Inbox - Demo 1 Inbound" is replaced with your shared mailbox
Use the "File to Sharedo" Quick Step
When an email is "In Focus" in Outlook, and the File to ShareDo button is clicked, the email is:
- Sent to Clio Operate for processing.
- Marked with a green tick.
