Overview of the Document Repository Viewer

The Document Repository Viewer in ShareDo allows users to access and interact with documents stored in an external document management system (DMS)—all from within ShareDo.

Where relevant, the viewer is configured to display files and folders linked to the current work item, ensuring users can quickly find the documents they need.

With this feature, users can:

  • Browse documents associated with a case or work item.
  • Select documents from the repository, such as for attaching to emails.

The Document Repository Viewer enhances document accessibility within ShareDo, making it easier for users to find, manage, and interact with case documents efficiently.

The Document Repository Viewer in ShareDo provides seamless access to external document management systems (DMS), allowing users to browse, manage, and interact with case-related documents. Below is a breakdown of its key features:

Repository Selection & Navigation

  • Displays all configured repositories for a work type.
  • Users can switch between repositories using a dropdown (if multiple exist).
  • If attachments have been defined in the Document Template configuration for the current matter type, an Attachments option is shown in the drop-down.
  • The closest ancestor’s repository is shown first.
  • Available in both widget and blade views. In blades, this dropdown is on the first breadcrumb instead (since there is no widget header).

 

Left-Hand Navigation (Repo Explorer)

  • All Files – Default view, displaying the repository’s root folder.
  • Activity Log – Shows document-related actions and changes as a Chronology widget.
  • Quick Links – Provides shortcuts to frequently used folders. For more information see the article Quick Folders.
  • Folder Tree – Displays the full folder structure for easy navigation.
    Hover the mouse pointer over truncated names to see the full name.

 

Document Management & Actions

  • Main Folder View – Allows browsing, selecting, and managing files.
  • Search & Filters – Users can search across all files or apply filters, and search in file contents.

  • Drag & Drop – Move files within the repository or into specific folders, and drag and drop files from the file system (Explorer) into repository folders.
  • Contextual Toolbar – Offers relevant actions based on user selection, including:
    • Creating new folders
    • Uploading files
    • Moving or copying files
    • Sending documents for approval or attaching them to emails
    • Share documents

Side Panel

  • Document Expectations – Displays required documents for a work item. See the Document Expectations article for more information.
  • Document Bundling – Allows users to create and manage document bundles. See the Document Bundling article for more information.

Docked Preview Pane

The preview pane is not displayed by default; you must click a document link for the preview to appear.

  • Users can dock/undock a document preview for quick reference.
  • The system remembers user preferences for future use.

Permissions & Security

  • Configurable permissions for uploading, browsing, and managing documents.
  • Users can be restricted from accessing the external DMS directly.

The following global permissions are added to the Documents category:

The following list of items must be set in the repository.matter-documents.type.features Value field. An administrator can check this by browsing to System Administration > System Config > System Settings and editing the repository settings.
